Finance Administrator

About the role

We are seeking an organised, proactive Finance Administrator to join our Head Office finance team in Gibraltar. You will support day‑to‑day financial operations, handling accounts payable, payroll and various finance administration tasks in a fast‑paced environment.

Key responsibilities

• Manage the finance/accounts mailbox and respond to queries professionally.
• Process supplier invoices, bills and expenses in Xero, including pre‑payments and accruals.
• Act as a point of contact for managers and staff on invoices, payments and finance queries.
• Complete weekly bank reconciliations for all group companies.
• Maintain the aged accounts payable ledger and follow up outstanding balances.
• Prepare and run supplier payment cycles with appropriate approvals.
• Process fortnightly payroll for two group companies using Easypay and keep documentation up to date.
• Handle monthly payments to self‑employed fitness instructors and monitor rental income.
• Support the financial setup of new group companies, including supplier onboarding and system configuration.
• Maintain electronic and physical filing systems in line with GDPR and company policies.
• Provide guidance to colleagues on finance processes and assist with ad‑hoc projects.

Required profile

• Proven experience in accounts payable or finance administration.
• Highly organised with strong attention to detail.
• Excellent communication skills with colleagues, suppliers and managers.
• Ability to prioritise multiple tasks and meet weekly/monthly deadlines.
• Proactive, independent yet a strong team player.
• Professional, reliable and committed to confidentiality.
